Fulltime Office Manager at Holy Wisdom Monastery

The Office Manager at Holy Wisdom Monastery holds a variety of roles within the organization to help ensure effective day-to-day operations. This position will initially require direct support of three different departments which include the Finance Department, Development Department, and support with a post-grant award process in the Center for Clergy Renewal. In addition, the Office Manager will help with general clerical tasks, communicating with and greeting guests, coordinating volunteers, responding to phone calls and emails, managing office equipment and supplies and assisting the Board of Directors, the Executive Director and the Leadership Team as needed. 


  • Coordinates with the Finance Department Director at 5 hours per week to help facilitate payroll, update QuickBooks, track expenses, update personnel files, manage accounts, process invoices, make payments and track receipts. 
  • Supports Department of Center for Clergy Renewal Director at 10 hours per week with project and grant management, event planning, budget development/oversight and liaises with the Finance Department to administer grant needs. 
  • Supports the Director of Donor Services at 10 hours per week with mailings, creating and distributing thank you letters, supporting donor services, and maintaining the development database.  
  • Aids the Leadership Team, the Board of Directors and the Executive Director with occasional clerical and organizational needs. 
  • Supports the Board of Directors with coordination of bi-monthly meetings, confidential minute-taking, and supplying board members with materials and information as needed. 
  • Performs clerical duties, such as filing, answering phone calls, and responding to emails. 
  • Facilitates communication and workflow between departments and organizational entities. 
  • Associate's degree or a minimum of 3 years in office administration is preferred 
  • Financial and grant experience recommended 
  • Intermediate level of experience with Microsoft 365, especially Outlook, Word, Excel 
  • Familiarity with office equipment, such as copy machines and phone systems 
  • Highly organized and able to create easy-to-follow system for others 
  • Ability to handle multiple tasks and duties simultaneously 
  • Independently motivated, with the ability to take on tasks and duties without immediate direction
